Got a slide deck, an image or a video you want to show during a session? It takes three quick moves: upload the file to your project, add it to your meeting, then share it when you're live. Follow along and you'll be done in a couple of minutes.
📌 Note: Media lives inside your project, so you can add a file to any meeting in that project. Upload once, use it as often as you like.
Part 1: Upload your media
Step 1: Open Media
First, make sure you're in the right project. Your media is saved to one project only, so it won't show up in meetings from a different one. Check the project name at the top of the left sidebar, and click it to switch if you need to.
Then click Media in the left sidebar. This is where all your project's images, PDFs and videos live. If you haven't uploaded anything yet, you'll see No media yet. That's normal.
Step 2: Create a folder
We recommend creating a folder before you upload. It keeps your files organized, especially once your library grows.
Click + New folder on the left side of the page.
Type a name and click Create.
Click the folder to open it.
Already have a folder? Just click it to open it.
✅ Tip: In a hurry? You can skip this step and upload straight away. Your files will go into Unfiled, and you can still find them anytime.
Step 3: Upload your files
Click Upload in the top-right corner. (If your library is empty, you can also click Upload Media in the middle of the page.)
Drag your files into the upload box, or click inside the box to pick them from your computer.
Your files will appear below the box. Added the wrong one? Click the × next to it.
Click Upload 1 file (the number matches how many files you added).
That's it. Your files now show up on your Media page.
What you can upload:
Images: JPG, PNG and WebP
Documents: PDF
Videos: MP4, WebM and MOV
Other file types can't be uploaded. If your file is in a different format, convert it to one of the above first.
Part 2: Add your media to a meeting
📌 Note: This article only covers adding media. For everything else about setting up a meeting, see [Meeting setup article title]. [Link to meeting setup article]
Step 4: Open your meeting
Creating a new meeting? Click + Create Meeting in the left sidebar.
Already scheduled a meeting? Click Meetings in the left sidebar. On the Scheduled tab, find your meeting, click the three-dot icon (⋮) at the end of its row, then click Edit meeting.
Step 5: Go to the Media tab
In the menu on the left, scroll down to In the room and click Media. If nothing is added yet, you'll see Nothing added yet. Don't worry, we're about to change that.
Step 6: Choose your files
Click + Add media. A window called Choose from library opens with everything you uploaded.
Click each file you want to add. A green checkmark shows up on every file you pick.
Click Add 1 file (the number matches how many files you picked).
Can't spot your file? Use the folders on the left, the tabs at the top, or the search bar to find it. Library empty? Head back to Part 1 and upload your files first.
Step 7: Check your files
Your files now appear under Media on this meeting. From here you can:
Change the order: Drag a file by the dots on its left side.
Remove a file: Click Remove next to it. It stays on your Media page, so you can add it back anytime.
Add more: Click + Add media again.
You'll also see a number and a green checkmark next to Media in the left menu, so you know it's working.
Step 8: Save your meeting
Don't skip this one. Your media isn't added until you save. The button in the top-right corner depends on your meeting:
New meeting, starting right now: Click Start Meeting.
New meeting, scheduled for later: Click Schedule Meeting.
Existing meeting: Click Update meeting.
⚠️ Heads up: If you leave the page before saving, you'll need to add your files again.
Part 3: Share your media in a live meeting
Your meeting is live and it's time to show your files. Hosts and moderators can share media with participants in a few clicks.
Step 9: Choose Share media
In the meeting room, click the Share button. You'll see two options: Share screen and Share media. Click Share media.
Step 10: Pick a file and share it
A panel opens with a list of all the media you added to this meeting. Find the file you want and click the Share button next to it. Participants will see it right away.
✅ Tip: Forgot a file? No problem. You can upload and add media during a session, and it shows up in the panel in real time.
Quick fixes
Can't click Upload or Add? The button stays faded until you've picked at least one file.
Can't find your file in the library? Make sure you're in the right project. Then click All media to see everything, or check Unfiled.
Added media but it's not on your meeting? You probably left before saving. Add the files again and finish with Step 8.
Don't see the Media option, the Upload button or the Share button? What you can see and do depends on your role. See [Roles article title] for details. [Link to roles article]
